Speakers' guidelines

Before the Conference


To enable the staff to handle the technical aspects in an efficient way, all presentations should be prepared according to the guidelines below. It is essential to:


  • use the correct format;


  • hand in the presentation on time at the Speaker Preview Room (room Rio, Level 2 of the CCB), at least four hours before your presentation time.

Prepare and save your presentation on a USB memory stick (and as a backup, a second USB memory stick or a laptop) and bring these with you to the Speaker Preview Room.

Label the materials with your name, session name, session date and presentation name.

Technical details
  • Only PowerPoint presentations made in Microsoft Office 2016 or earlier versions can be accepted. As a rule, it is better to use PPTX format.


  • Try to avoid using non-standard Windows fonts or language specific fonts; use high contrast colours (light text on dark background or vice versa). Example of Windows fonts: Arial, Calibri, Myriad Pro, Times New Roman.


  • Use standard format: landscape orientation on 16:9 ratio. 4:3 presentations will not be displayed correctly.


  • Presentations will be projected in a resolution of 1920 x 1080 pixels. All video/data projectors (beamers) at the Conference can visualise this resolution without issue.


  • We recommend that you make your slides as concise as possible by keeping texts short and avoiding too many bullet points.


  • Please note that there will be NO overhead projectors or slide projectors in any of the session rooms.

Should you have problems preparing a MS PowerPoint presentation, please contact the Conference Secretariat in advance, so that necessary arrangements can be made.

Pictures and videos
  • Save the picture you want to use in JPG or PNG format and set compression/quality to medium or high. (Avoid saving your pictures as TIF files, especially in MAC presentations).


  • AVI, WMV, MPG or MOV are the only acceptable video formats.


  • Save the pictures/videos used in your presentation separately on a USB memory stick. This way, we will be able to re-insert the original items, in case there is a technical problem.


  • In general, be careful to respect author’s rights and person’s anonymity.
Conflict of interest disclosure

A conflict of interest disclosure slide must be included in the PowerPoint presentation. The disclosure slide should be displayed and read to the audience at the beginning of your lecture.

Content strategy recommendations

Through the years, we have observed several methods which help speakers get their message across the audience more effectively. Feel free to try one or all of these suggestions:

  • Write a maximum of one clear idea or topic per slide;


  • Make slides as concise as possible by keeping texts short and avoiding too many bullet points;


  • Provide a new visual every minute;


  • Try to avoid reading your slides and engage your audience by structuring your presentation with a "Proposal", your "Evidence", and "Call for action";



  • Segment your presentation into tracks/themes;


  • Break your presentation into a series of 3 to 4-minute segments alternating storytelling and learning.



During the Conference

Speaker Preview Room

The Speaker Preview Room facilities will provide the following possibilities:


  • Reviewing your MS PowerPoint presentation;


  • Last minute changes to your MS PowerPoint presentation;


  • Expert advice by technical staff on site;

The Speaker Preview Room is located on Level 2 of the CCB, room Rio, and will be indicated on the conference signage.


Opening hours:


  • Wednesday, November 6, 2019, from 08:00 to 19:00


  • Thursday, November 7, 2019, from 07:00 to 19:00


  • Friday, November 8, 2019, from 07:00 to 19:30


  • Saturday, November 9, 2019, from 07:00 to 13:00

Check in at the Speaker Preview Room three hours before your presentation time.

The organisers cannot guarantee projection of presentations handed in later than three hours prior to the sessions.


For a morning presentation, please report to the Speaker Preview Room the day before up until 1 hour before the Speaker Preview Room closing hour.

Session rooms

Each session room is equipped with the following items:


  • Lectern with microphone;


  • Clip-on microphone;


  • Data projector for MS PowerPoint presentations;


  • Laser pointer.

Be in the session room at least 10 minutes before the session starts to meet the chairs of the session and familiarise yourself with the technical equipment.


Technical staff will be present to assist you.
